Membership Terms, Conditions, Registration & Contract

By completing the registration form and signing the terms and conditions, I bind myself to these membership terms, conditions and contract.

The program background

The program is designed to empower children on a developmental as well as an emotional level. The program has 3 phases that are implemented each week. The first phase is physical bodily movements on the rhythm of the music to help the child learn from a whole-brain perspective and take in and process new ideas from this whole brain. This process is called educational kinesiology. The second part of this program, which also comprises two-thirds of the program, is the building blocks section. This part of the program forms part of the CAPS program which is part of the Department of Education's base for education. The blocks program is offered to the child/children on an intellectual as well as an emotional level to sharpen the child's school skills as well as to deepen the child's emotional intelligence. Studies show that when emotional intelligence is high, it enhances the child's learning skills. Persistent trauma negatively impacts the child's intellectual development which negatively impacts his learning skills at school. During the blocks of play, certain emotional coping skills can be learned, emotional regulation can be practiced and the child can learn with time to reason and try to overcome problems at home as well as at the school in a neutral way. The program concludes with the third phase which involves various relaxation and breathing techniques to also calm the child after the excitement of the session, as well as to learn how to relax during high anxiety situations. Although this program addresses aspects of parenting accompaniment, bonding therapy, emotional regulation, anger management, problem-solving skills, communication skills, intellectual and developmental skills, for which there is not always time at home to address, it does not remit the parent to deal with these aspects with the child at home as well.

The first once-off assessment

The first once-off preliminary assessment is to determine the child's developmental level and temperament type in terms of partner preferences and adjustment in the groups. In this way, the child can be placed in a group where he can function best. However, this assessment is not the last and only or decisive factor for placing the child in a group. The child can be moved to another group at any time with regard to the child as well as the group's best interests. The parents will be notified if the abovementioned should this be the case. Club times

There is already a pre-set timetable for when Busy Bugs Bricks Club is involved in specific areas. However, these days may change depending on demand. Similarly, there are specific Club times for each age group. However, these times may also change as the club develops. These changes will be communicated to you in writing. When the Club starts in a new area, there will be smaller groups whose ages vary considerably. As the groups grow larger, the groups will again break into smaller groups with the right age groups and spontaneously fall into the initial time slots. Should you fall into a club area that is growing, we would like to ask you for your patience with this process in terms of age differences as well as the time slot adjustments to grow into your child's group time slot. Club times are an hour session per week. The first and last 5 minutes of the session is spent on receiving, clean-up and greeting and preparing for the next group that follows. It is crucial that your child is not late for a session as the child may miss out on an important kinesiology exercise that has impact on the rest of the session. Similarly, it is important not to pick up your child late at the club, as the facilitator will be busy with the next group presentation and therefore will not be able to supervise the child whose parent arrives late. Any one-to-one conversations you wish to discuss with the facilitator must be made by appointment. During Bricks Club times, the facilitator must pay attention to the various children who come in and go out. The program is also of such a nature that everything must be completed within the given hour for the program to run smoothly. If your child arrives late, or if you pick-up your child late, or if you wish to speak to the facilitator during program times, this will negatively affect your child's hour as well as the session before or after your child's session. Busy Bugs Bricks Club will be closed on public holidays and school holidays; these days are already included in the package prices. It is the parent's responsibility to get the child to the Club promptly. Busy Bugs Bricks Club does not yet have transport facilities to transport your child to and from the club. Preparation for the session The club member must always be dressed in his / her club shirt when they come to their Bricks Club session. It is first and foremost important for uniformity as well as association with the members of the club. The child must bring a bottle of water to the club every time. The bottle should be easily opened and closed so that the child can continue with the activities without delay while drinking water in between. Drinking water is part of the kinesiology exercises we do and forms part of our brain's processing. No soft drinks or snacks or personal toys may be brought to the club. Due to the intensity of the program, there is no time for in between meals. Due to the activities, the soft drinks can also be easily knocked over. Likewise, toys can be lost between the blocks and the game that takes place. Signature: ____________________ & ____________________

Packages and fees

The price per session is determined by the package you take. The term for which you enrol the child determines the package. All fees (except package 1) are payable monthly in advance. Package 1 is payable 1 week in advance. All entries are accompanied by a prior individual assessment session of 60 - 90 minutes to determine the best group for your child's needs (when the group is large enough to lead each age in its own time slot).

All package options (except the gift voucher option) have the following standard fees

: • R 650 – 00 once-off assessment costs (individual 60 - 90 min session)

• R 350 – 00 annual administration fee (which includes a t-shirt)

This fee is adjusted annually The fees do not cover additional packages or programs offered by Busy Bugs Bricks Club (PTY) Ltd. The fees also do not cover snacks or excursions. Such costs are additionally payable.

No cash payments will be accepted from a child. Any cash must be given to the facilitator by the parent / guardian in an envelope with the necessary details. When giving cash, do not leave until you have received a written receipt.

Busy Bugs Bricks Club also has card facilities available. Please consider the sessions when paying with a card.

Reference: Child’s name and surname

A penalty of 10% will be charged for any payments later than the 3rd of the month. Your child will also be denied access to the club until the funds are fully recovered. By the third late payment, it is seen as a breach of contract and your child will lose his / her place in the club while you are still responsible for the contractual fees up to the expiration date of your contract.

December is a compulsory full paid month (even though the schools and the club close in the month until early in the New Year). Remember that the package has already taken prices into account in those days. You are liable for the full amount of the Bricks Club fees at all times, regardless of why the child does not attend a session (illness / vacation). No further discount is given in the case of illness or holidays as we reserve the place and prepare for the number of children per session. Busy Bugs Bricks Club reserves the right to cancel classes, subject to exceptional circumstances, within 24 (twenty-four) hours’ notice to the parent / guardian. The different packages are set out as follows:

Packet 1: PER SESSION PACKAGE Package 1 is a "per session" package.

These packages are booked weekly in advance for the child who comes and visits the club on and off and not attend the club on a weekly basis. For this option, the child must still do the pre-assessment as well as go through the normal registration process. Package 1 can also be used as a gift voucher option. If your child is enrolled for package 2 or 3 and would like to bring a friend along to a session, a gift voucher can be purchased at package 1's fee. With the gift voucher option, the visiting child does not have to be assessed in advance or pay administration fees.

Conditions for the gift voucher option under package 1

The parents of the visiting child with the gift voucher must also complete a consent form to allow the child to attend the session. Such a form can be provided on request.

The child who visits Busy Bugs Bricks Club with a gift voucher must be accompanied by the child who is already registered as a member of the club.

However, such a gift voucher is only redeemable once per individual. If the visiting child with the voucher wants to visit Busy Bugs Bricks Club again, a formal assessment with the child must first be made and a contract signed with the relevant parents.

Due to the assessment process, it is not guaranteed that the child that had the voucher will be in the same group as the child who invited him when he visited when this child also formally enrols at Busy Bugs Bricks Club. The assessment is there to divide the children into specific groups for personal and emotional development.

The price for Package 1's option is R 550 - 00 (five hundred and fifty rand) per session. These fees are payable one week in advance per session to keep the space for the child. If the child does not show up for the session, or the session is not cancelled in writing within 3 days (72 hours), the paid fees will be forfeited as that space in that time slot was specifically open to your child and planning for the session with the amount of children was taken into account accordingly.

Although package 1 is a flexible package in terms of attendance, the year package (3) is recommended. The children begin to form a bond of trust among themselves. The program is also designed to develop the level of advancement as the year goes on and the children within the program start to grow spontaneously. If your child does not attend the sessions regularly, and the level of difficulty may become too complicated, there may be a possibility that the child will be moved to a younger group to first build confidence in the technique before the child returns to the same level age group. Package 2: MONTH TO MONTH PACKAGE

Package 2 is a month to month contract that you sign with Busy Bugs Bricks Club. By signing this contract, you agree to use these services on a month to month basis and the contract is automatically renewed on a monthly basis. This contract can only be cancelled with a calendar month written notice.

If this contract is not cancelled in writing 30 (calendar) days before or on the first of the notice month, you as parent are still responsible for the subsequent full calendar month membership fees which will then serve as the notice month.

The annual renewal fee and administration fee remain applicable to this package and are payable annually on or before January 1.

This package amount per month works out to R 1 800-00 per month.

Package 2's sessions work out at R450-00 per session and the package amount is payable monthly in advance and not weekly per session as with package 1.

Because this is a package option with a reduced amount per session, the amount of R1800-00 must be paid monthly in advance.

This package is standardized for 4 weeks.

If a specific month has 5 weeks, the package price remains the same. Should your child's club day fall on vacation days or the days when the club is closed, the package amount will remain the same. If your child cannot attend a session, the package remains the same amount.

Package 3: Calendar year contract (1 year club membership)

Package 3 is a 1 year (12 month) contract signed with Busy Bugs Bricks Club. By signing this contract, you undertake to commit yourself to this contract until the end of the calendar year. Should you decide to cancel the contract for any reason during the course of this year, you are still responsible for the monthly payment up to and including 31 December of the year.

This contract automatically renews annually on or before 1 January of the consecutive year. If you do not give written notice before 1 December of the year in which this document is signed, this contract will automatically renew for another year. The annual administration fees and the monthly membership fees are adjusted annually. It will be given to you by December 1st and is payable from January 1st.

The amount of R1 200-00 (one thousand two hundred rand) per month is payable monthly in advance which equals 4 sessions per month at a reduced amount of R300 (three hundred rand) per session. Signature: ____________________ & ____________________

Should you register more than 1 child in your family for the Bricks Club, there is a discounted amount for the subsequent children who enrol with the first child. The condition is that the first child pays the full amount and the discount amount will be offered for the second child.

If a specific month has 5 weeks, the package price remains the same. Should your child not attend a session for whatever reason, you will forfeit the session's fees as the fees form part of a discount package. The same conditions apply when the child's session falls on a holiday or when Busy Bugs is closed seasonally.

Safety

All children must be left in the care of the facilitator upon arrival. No responsibility is taken for children who are not physically handed over to a Bricks Club staff member. Therefore, no child may simply be dropped off at the gate.

No child is allowed to wait for their parents or transport outside Busy Bugs Bricks Club grounds to be picked up. The parent / legal guardian / designated responsible person must pick up the child at the session room. Busy Bugs reserves the right to contact the contact person on your application form to pick up the child if the child is not picked up in time. The gates will be closed at all times.

Ring the bell or hoot (where there is no bell device) or dial the club's number to access. Please make sure the gate is closed after entering or exit. During the club session, no child may leave the premises without permission. Bricks Club members are limited to the club room, verandas, changing rooms/bathrooms and the garden as will be pointed out. Access to other areas is prohibited.

Although the utmost care will be taken in handling and supervising your child, Busy Bugs Bricks Club and its staff accept no liability for any accident that may occur on the site. This also applies to any other unforeseen events. No child will be handed over to a person who the staff has no knowledge of.

Unless arranged by the parent / legal guardian by telephone or in person. The parent / legal guardian transfers their authorization to Busy Bugs or his/her representatives if medical / surgical treatment may be needed for their child.

The parent / legal guardian accepts that every reasonable provision will be made for the safety and well-being of their child and that the parent / legal guardian will be held responsible for the payment of medical or hospital bills in the event of an injury not to the negligence of the responsible staff.

Busy Bugs Bricks Club reserves the right to call a physician of your choice in the event of an emergency (with the consent of the parent / legal guardian) and to transport children. The costs will also be paid by the parent / legal guardian. Signature: ____________________ & ____________________

Hygiene, Disciplines, Clothing, Toys, and Refreshments

Parents should remember that they still take full responsibility for their children's education and emotional guidance and that they remit Busy Bugs Bricks Club.

Busy Bugs Bricks Club is a social club for children focusing on the CAPS system for intellectual and age-appropriate development as well as additional services such as educational kinesiology and counselling intervention techniques. Daily facilitation is offered in groups of a maximum of 8 - 16 children per session.

Busy Bugs Bricks Club is not a school or a pure counselling centre. If there are additional needs for the child's well-being, your child will be referred for additional help. Bricks Club members must at all times be dressed neatly in long pants or shorts and the Busy Bugs Bricks Club T-shirt.

Underwear must not protrude and stomachs must be covered. No short skirts or low necks are allowed.

All clothing and other personal belongings must be clearly marked. While every precaution is taken, Busy Bugs cannot accept any responsibility for clothing, watches, jewellery or any other personal belongings that may be lost. One shirt is issued per child annually. However, extra shirts can be ordered at an additional fee throughout the year. Orders only occur at the beginning (first week) of each quarter. Pupils' behaviour and language use must be impeccable at all times. Chewing gum will be allowed on condition that the child will continue to concentrate during the session and will not leave chewing gum or paper on the ground or other places except directly in the trash. If the permit is abused or no one takes responsibility for chewing gum or paper lying around, the permit will be stopped for everyone. Hygiene and cleanliness are important.

Changing rooms/bathrooms should be left clean and tidy. Facilitators, fellow members, property and equipment will be respected at all times. If any damage is done by a child, his / her parents will be notified and the value will be recovered from the child's parents. Mobile phones and PlayStation portables are not allowed under any circumstances. The centre will contact the parent in case of an emergency and you as a parent also have the Club number. When a child has a cell phone at the session, it must be turned off and placed in the care of the facilitator until the child leaves the club.

The facilitator cannot be held liable for the cell phones or any electronic goods or personal items as the facilitator must focus on the session and will not be able to pay attention to personal items.

The club rules must be adhered to at all times and create an organized environment. Each child is expected to help clear the blocks and store the items used during the session before the session runs out as part of collaboration, routine and character building and forming process. Medication & Diseases 

Children who have a serious or any infectious disease should be kept at home, as determined by a physician. These include, but not limited to tonsillitis, diarrhoea, ear/eye infections, colds/bronchitis, sinus, and head lice. If the physician regards a serious illness as not serious, he should please send a note in this regard to the Bricks Club. If medication is to be administered during club times such as asthma pumps or insulin, the following must please be in place:

• The medication must be clearly labelled.

• The medication should be physically given to the facilitator (unless the child knows how to administer what is needed at the correct times and method).

• If you are aware that your child is not well, please always be ready or on hand to pick up your child should your child need to go home.

Busy Bugs Bricks Club reserves the right to contact the parent / legal guardian at any time during the session to fetch your child when the child's health or well-being deteriorates.

Additional services

When you enrol your child at Busy Bugs Bricks Club, your child is assessed in advance to place the child in a group where it will be in the child's best interest for emotional growth. Kinesiology and breathing exercises form part of the program to also address ADD and ADHD to facilitate the learning process as well as for the necessary stimulation.

The child is assessed at various levels on a regular basis throughout the year and during the sessions. Should your child be found to need additional counselling or intervention at one to one level, you will be contacted as a parent / legal guardian and discussed with you and brought to your attention. Should this be necessary, a Socio-Emotional Assessment or additional intervention will be proposed.

These assessments and intervention sessions and packages will be discussed with you as the need arises. If necessary, you as a parent will be asked to become part of the process. Parents will be notified by Busy Bugs Bricks Club when holiday programs are offered for the children. These services are not part of the basic Bricks Club contract and fees and are contracted separately.

Communication

All messages sent to Busy Bugs Bricks Club must please be notified in writing via email or whats app. If there are any queries or concerns that should come to our attention, you are welcome to make an appointment and bring the matter to the attention of the Director of Busy Bugs Bricks Club, Professor Marlize Snyman.

Right of Access

The right of access to the club is retained by director Prof Marlize Snyman and her facilitators. Signature: ____________________ & ____________________

General

Both parents / legal guardians must sign the contract. Both parents / legal guardians are responsible for paying the bill. Written changes of address, marital status, telephone numbers, etc. are crucial and must be provided to Busy Bugs.

Photos and video recordings of the sessions and techniques are taken during the sessions for marketing and training purposes. By signing this document, you authorize that material on which your child appears may be used for the above purposes without placing your child in a bad light or in a position where the child may feel exposed. If you, as a parent, refuse your child to appear on any of the image material, you must notify Busy Bugs in writing and that notice must be signed by the Director of Busy Bugs and you keep a copy of that signed notice.

Disclaimer

I/We ________________________________________________________________________ (full names and surnames of parents/guardians) Take full and final responsibility for my / our own child's education and learning. Since I/we are not expertly trained and I/we must act in the best interests of my / our child and ensure that my / our child grows socially healthy and balanced, I/we tackle this responsible task in collaboration with other parents and with the support of the Busy Bugs Bricks Club.

I/we hereby apply for admission of the said child/children at Busy Bugs Bricks Club and I/we will abide by the entry conditions and rules of the club as set out in the previous pages above. I/we understand that I/ we continue to take full responsibility for my / our child/children's education in all areas where the Club provides its services and where the Club's services cease and therefore I renounce Busy Bugs Bricks Club free of all and any preconceived expectations I/we may have about my child's program and development.

I am aware that domestic circumstances, additional therapy (or intervention) or the failure thereof, as well as once-off or recurrent trauma, can have a negative effect on the club's results.

I/we are aware of Busy Bugs Bricks Club's fees according to the package I/we choose for me / our child/children. What amount is payable in advance on or before the first day of the month preceding the month. I/we undertake to pay these fees promptly. I/we understand that non-payment of this may result in a 10% penalty on outstanding amounts, legal action may be taken against me/us and/or that my / our child/children may be denied access to the club while I/we are still responsible for the account as I have contractually undertaken and committed until the date for this contract has expired.

I/we are aware and consent that some of the activities may be taken with a camera or video camera for case studies, training or marketing purposes, provided that my / our child/children are not incorrectly or unnecessarily exposed. Signature: ____________________ & ____________________

Therefore, I/we INDEMNIFY the staff and management of Busy Bugs Bricks Club from any legal aspects regarding the information obtained and/or the footage that will be used. I/we also understand that I/we must re-register my/our child/children for the following year on or before November 1st of each year to secure his / her place.

If I/we wish to terminate the contract, we must do so within the period indicated with each package to ensure that the contract is not renewed spontaneously. I/we are also aware that this contract is binding and just as with Gym and cell phone contracts this contract cannot be terminated earlier - whichever the reason for the termination of the contract. Should I/we wish to terminate the contract sooner or my / our child/children will be removed from the club earlier, we may either pay the outstanding balance of the contract once-off or continue to pay the instalment on a monthly basis until the fees of this contract are paid. I/we are aware that December, January and all other months on which school holidays and public holidays fall are fully paid months as packages have already been discounted to cater for the days on which there are no club offers. Furthermore, I/we INDEMNIFY the staff and management of Busy Bugs Bricks Club, of any legal liability or costs of any kind for injuries or any other unforeseen event that may be incurred by me / our child/children during his / her visit to the club, provided there is proper supervision. I/we give permission that he/she may participate in all the activities that take place during this club session and which are associated with it. I/we transfer my / our powers as parents / legal guardians to the head, facilitators, and staff of the club for the duration of the session. In urgent cases of illness, accident or injury where I/we cannot be consulted on time, I/we agree that the principal or her authorized representative may take the necessary steps to consult an attending physician or to transport to a hospital, and in case the practitioner deems it necessary to give emergency surgery on my behalf. I DISCLAIM the said person(s) and Busy Bugs Bricks Club of any liability. I/we have carefully read, understand and accept the Disclaimer without reservation.
